ProvidersPro Mobile App Privacy Policy

This Mobile App Privacy Policy explains how ProvidersPro collects, uses and protects information when you use the ProvidersPro mobile app on iOS or Android.

ProvidersPro is designed for disability, care and NDIS provider organisations. We understand that privacy, secure access and appropriate handling of personal information are essential when supporting participants, staff and provider teams.

This policy should be read together with our main Privacy Policy.

1. Information we collect through the app

When you use the ProvidersPro mobile app, we may collect:

  • Your name
  • Mobile phone number
  • Email address
  • Organisation or provider name
  • User role or access level
  • Login and authentication details
  • Device type, operating system and app version
  • Security logs, such as login time, failed login attempts and session activity
  • Support messages or information you send to us
  • Limited usage data to help us improve app performance and reliability

Depending on the features your organisation uses, the app may also display or process work-related information such as shifts, participants, notes, tasks, incidents, documents or service records.

We only collect information that is reasonably needed to provide the app, secure user accounts, support provider operations and meet applicable legal or compliance obligations.

2. OTP login and phone verification

ProvidersPro may use one-time passcode verification, also known as OTP login, to help confirm your identity.

When you log in using OTP, we may use your mobile phone number to:

  • Send you a one-time login code by SMS
  • Verify that the code entered is correct
  • Protect your account from unauthorised access
  • Detect unusual or suspicious login activity
  • Keep a record of authentication events for security and audit purposes

Your OTP code is used for authentication only. We do not use OTP codes to access your messages, contacts, photos or personal files.

On some devices, your operating system may offer to automatically detect or suggest the OTP code. This is handled by your device or operating system and does not mean ProvidersPro can read your SMS inbox.

3. How we use your information

We use mobile app information to:

  • Allow you to log in securely
  • Confirm your identity
  • Provide access to the correct company, role and permissions
  • Display app features relevant to your role
  • Maintain app security
  • Troubleshoot bugs and performance issues
  • Support audit trails and record-keeping
  • Respond to support requests
  • Improve the app experience
  • Meet legal, regulatory or compliance requirements

For NDIS provider organisations, secure access, role-based permissions, audit trails and record-keeping may assist with privacy, safeguarding, incident management and evidence requirements.

4. App permissions

The ProvidersPro app may request access to certain device permissions only when needed for a feature.

These may include:

  • Notifications — to send reminders, alerts, roster updates or task notifications
  • Camera — if you choose to capture or upload an image
  • Photos or files — if you choose to upload a document or attachment
  • Location — only if your organisation enables a location-based feature, such as shift check-in or travel verification

You can manage app permissions through your iOS or Android device settings.

If you disable certain permissions, some app features may not work as intended.

5. What we do not do

ProvidersPro does not:

  • Sell your personal information
  • Use your OTP code for marketing
  • Read your SMS inbox
  • Access your contacts without permission
  • Access your photos, camera, files or location unless required for a feature and permitted by you
  • Use mobile app data for unrelated advertising purposes

6. Sharing information with service providers

We may use trusted service providers to help operate the mobile app, including providers for:

  • SMS and OTP delivery
  • Cloud hosting
  • Authentication
  • Error monitoring
  • App analytics
  • Customer support
  • Email or notification delivery

These providers are only given access to the information needed to perform their services.

We may also disclose information where required by law, regulation, court order, government authority or applicable compliance obligations.

7. Security

We take reasonable steps to protect information collected through the app from misuse, interference, loss, unauthorised access, modification or disclosure.

This may include:

  • Secure login
  • OTP verification
  • Role-based access controls
  • Encrypted connections
  • Access logging
  • Session controls
  • System monitoring
  • Restricted staff access
  • Secure hosting practices

No mobile app or online service can be guaranteed to be completely secure, but we take privacy and security seriously.

8. Data retention

We retain personal information only for as long as reasonably needed for the purposes described in this policy, including providing the app, maintaining security, supporting provider records and meeting legal or compliance requirements.

For provider organisations operating in regulated care or NDIS environments, some records may need to be retained for longer periods to support audit, compliance, incident management or evidence obligations.

9. Access and correction

You may request access to the personal information we hold about you.

You may also ask us to correct information that is inaccurate, outdated or incomplete.

Some account information may need to be updated by your organisation’s administrator.

10. Deleting your account or app data

You may request deletion of your account or personal information by contacting us.

In some cases, we may need to retain certain records where required for security, audit, legal, billing, operational or compliance reasons.

Deleting the app from your device does not automatically delete your ProvidersPro account or organisation records.

11. Overseas disclosure

Some of our technology providers may store or process information outside Australia.

Where this occurs, we take reasonable steps to ensure that personal information is handled securely and consistently with applicable privacy obligations.

12. Changes to this policy

We may update this Mobile App Privacy Policy from time to time.

The latest version will be available on our website or through the app.
